Job Description

Airswift is seeking a Workplace Strategy Specialist to work with one of our O&G clients in Calgary, AB on a 1-year contract (with possibility of extension).

We are seeking a detail-oriented and proactive Workplace Strategy Specialist with expertise in project management, space and occupancy planning, and data analysis. This role is critical in developing data-driven recommendations, coordinating project execution, managing space supply, and maintaining strong client relationships.

Qualifications & Skills

• University degree and 7+ years of relevant experience, or equivalent combination of education and experience.
• Background in occupancy planning, space planning, interior design, or related fields.
• Proficiency in Tango or similar CAFM systems.
• Advanced Microsoft Excel and PowerPoint skills (pivot tables, VLOOKUP, charts, storytelling).
• Strong project management skills (certification is an asset).
• Sharp analytical and scenario planning skills.
• Strong interpersonal, communication, and negotiation abilities.
• Ability to work independently and manage competing priorities.
• Clear understanding of business drivers and strategic alignment.
• Experience interpreting architectural drawings and referral plans.

Key Responsibilities

Data & Systems Management

• Maintain accurate occupancy and space data in IWMS system (Tango).
• Use data analysis to develop scenarios and recommendations.
• Ensure data integrity for floorplans, space use, and occupancy.

Space & Occupancy Planning

• Analyze and report on space utilization across large office sites.
• Develop and execute occupancy and migration plans, including large-scale restacks (1500+ people).
• Review and approve furniture reconfiguration requests.

Project Coordination

• Coordinate cross-functional workstreams to ensure on-time, on-budget delivery.
• Define project scope, collaborate with design/construction teams, and prepare final documentation.
• Forecast O&M and capital costs for proposed solutions.

Client Engagement

• Consult with internal clients to develop cost-effective space solutions aligned with standards.
• Educate clients on space and occupancy policies and escalate non-compliance.
• Foster strong relationships and negotiate to reach effective solutions.

Reporting & Analysis

• Deliver high-quality reports and insights to support decision-making.
• Align planning activities with corporate guidelines to optimize space usage.

Scope

• Responsible for managing business processes related to occupancy and space planning.
• Accountable for accurate data maintenance and forecasting costs.
• May guide junior employees or coordinate small teams.

Working Relationships

• Collaborates closely with the space and occupancy team.
• Supports internal clients and stakeholders across all organizational levels.
• Manages external vendor relationships to ensure project delivery meets company standards.

• Must handle high-pressure situations calmly and professionally.
• Occasional travel (10%) to support site-specific planning and execution.
